CLUB CONSTITUTION

Name and colours:

The club will be called Skegness Triathlon Club and was affiliated to the Tri England governing body in October 2013. The club colours are orange and black.  

​Aims and objectives:

The aims and objectives of the club will be:

  • to offer coaching and competitive opportunities in multi sport events comprising of swimming, cycling and running.

  •  to promote the club within the local community.

  •  to ensure a duty of care to all members of the club.

  •  to provide all its services in a way that is fair to everyone.

  •  to ensure that all present and future members receive fair and equal treatment.

Membership:

Membership of the club shall be open, on application to any adult age 18 and over interested in recreational or competitive multi sport events, regardless of sex, disability, ethnicity, race, nationality, sexual orientation, occupation, religion, political or other beliefs.

 

Individuals who wish to become members of the club must apply using the membership form.

 

The club offers 3 free sessions as a trial into the sport. Any new prospective members will be asked to fill in a waiver form. Previous club members can only take advantage of the 3 free session 36 months or more after membership expiry.

The committee shall admit that person to membership unless to do so would be contrary to the best interests of the sport or the good conduct and interests of the club.

 

The club membership year shall run from 1st April to the 31st March annually.

 

By becoming a member of the club every member and club officer agrees to abide by the club's constitution and rules, the club’s code of conduct, the club’s social media policy, the rules and regulations of Tri England, England Athletics and other relevant governing bodies that the club may affiliate to.

 

Members will be enrolled as full members.

Membership Fees:

Membership fees will be set annually and agreed by the management committee and determined at the Annual General Meeting.

Fees will be paid from 1st March and made by 31st March for the following year.

Officers of the Club:

These will be:

  •  Chairperson

  • Vice Chairperson

  • Secretary

  • Treasurer

  • Welfare Officer

  • Press Officer

  

Officers will be elected annually at the AGM. All officers will retire each year but will be eligible for re-appointment.

Committee:

The club will be managed through the committee consisting of :

  • Officers of the club as in above section , and in addition , up to 6 committee members.

Only these members will have the right to vote at meetings.

 

The committee will be convened by the secretary of the club and held no less than 6 meetings per year.

 

The quorum required for business to be agreed at a committee meeting will be 5 committee members. Proxy vote included, which should be registered with the secretary prior to the meeting.

 

Any committee member that has either a financial or personal interest in an agenda item must declare this interest at the start of the meeting and not be present for the discussion and/or vote on that agenda item.

 

The committee will be responsible for adopting new policy, codes of conduct and rules that affect the organisation of the club.

 

The committee will have powers to appoint sub-committees as necessary and appoint advisers to the committee as necessary to fulfil its business.

 

The committee will be responsible for disciplinary hearings of members who infringe the club rules/regulations/constitution/code of conduct and or social media policy. The committee will be responsible for taking any action of suspension or discipline following such hearings.

 

Any member of the committee may be dismissed should they fail to attend 3 consecutive meetings.

Finance:

All club monies will be banked in an account held in the name of the club.

 

The club treasurer will be responsible for the finances of the club.

 

The financial year of the club will end on 31st December.

 

A statement of accounts will be presented by the treasurer at the AGM ready to be reviewed by a qualified independent third party.

 

Any cheques drawn against club funds should hold the signature of either the club treasurer or club secretary.

 

Annual General Meetings :

 

Notice of the AGM will be given by the club secretary. No less than 21 clear days notice to be given to all members.

 

The club AGM will be held annually.

 

The AGM will receive up to date statements of accounts from the treasurer to be audited and a report from the secretary.

 

Nominations for officers of the committee may be sent to the secretary prior to the AGM.

 

Elections of officers are to take place at the AGM unless co-opted on at a later committee meeting.

 

All members have the right to vote at the AGM.

 

The committee has the right to call Extraordinary General Meetings (EGM) outside the AGM. Procedures for EGM’s will be the same as for the AGM.

Discipline and Appeals :

All complaints regarding the behaviour of members should be submitted in writing to the secretary.

 

The committee will meet to hear complaints within 7 days of a complaint being logged. The committee has the authority to take appropriate disciplinary action including the termination of membership.

 

The outcome of a disciplinary hearing should be notified in writing to the person who lodged the complaint and the member against whom the complaint was made within 21 days of the hearing.

 

There will be the right of appeal to the committee following disciplinary action being announced. The committee should consider the appeal within 21 days of the secretary receiving the appeal.

Dissolution:

A resolution to dissolve the club can only be passed at an AGM or EGM through a majority vote of the membership.

 

In the event of dissolution, any assets of the club that remain will become the property of a named charity chosen by the committee.

 

Amendments to the constitution :

 

The constitution will only be amended through agreement by majority vote at an AGM or EGM.

Races :

When registering for races, if you are racing under a team or corporate name other than Skegness Triathlon Club, do not select Skegness Triathlon Club,  if available,  or use the club’s name.

 

The expectation of members is if you are entering any race under Skegness Triathlon Club then you are required to wear Skegness Triathlon colours, not another club’s colours or representation.

​Declaration :

Skegness Triathlon Club hereby adopts and accepts this constitution as a current operating guide regulating the actions of members.
